Filing With an ITIN When Your W-2 Shows a Different Number

Returns where the ITIN does not match the SSN on a W-2 used to mean paper filing and months of delay. They can now be filed electronically.

A long-standing annoyance for ITIN holders has been fixed. Returns with an ITIN/SSN mismatch, which previously could only be filed on paper, are now accepted by the IRS e-file system.

What an ITIN/SSN mismatch is

It sounds obscure, but it is a common situation. It arises when someone worked using a Social Security Number that is not theirs to use for tax purposes — or that was issued and later replaced — and their Form W-2 therefore shows an SSN, while the person filing the return is identified to the IRS by an ITIN.

The taxpayer must file using their ITIN as the identifying number, but the W-2 attached to that return shows a different number. To the IRS's automated matching, that looks like an inconsistency.

What has changed

Previously the mismatch caused the return to be rejected by e-file, leaving paper as the only route. The IRS has now modified the system to accept these returns electronically: you file using the ITIN as the primary identifier, and enter the SSN exactly as it appears on the W-2.

Why this is worth more than it sounds

The difference between e-filing and paper filing is not a matter of convenience. It is a difference of months.

  • Refunds. An electronically filed return is processed far faster than a mailed one. For anyone owed money, that gap is the whole point.

  • Confirmation. E-filing gives you an acknowledgement that the IRS received the return. Posting a return from India gives you a postal receipt and a hope.

  • Transcription errors. Paper returns are keyed in by hand at the IRS, and that introduces errors which are then yours to unpick.

If you have been filing on paper for this reason, it is worth confirming whether you still need to.

Separately, and worth knowing if it applies to you: a primary taxpayer or spouse filing with an ITIN is not eligible for the Earned Income Tax Credit. That has not changed, and it catches people out.
